Work Arrangement: Fully remote with flexibility for event-related tasks or urgent project deadlines.

Job Type: Full-time

Salary Range: Up to $1,500 per month (Dependent on experience and qualifications)

Work Schedule: 40 hours per week, Monday to Friday, 9:00 AM – 6:00 PM Greenwich Mean Time (GMT)

As the organization continues to grow, it is seeking a high-caliber Executive Assistant // Project Manager to streamline operations, manage key projects, and provide exceptional support to its leadership team.

Role Overview

As an Executive Assistant, you will provide strategic and administrative support to the CEO and executive leadership team. Your role will be critical in managing schedules, overseeing communications, and coordinating high-level projects to ensure seamless daily operations.

Key Responsibilities

  • Executive Support:
    • Provide comprehensive support to the CEO by managing their calendar, prioritizing tasks, scheduling meetings across time zones, and resolving conflicts, while also drafting, reviewing, and refining high-level communications, including emails and presentations, with a consistent and professional tone.
  • Community Management:
    • Oversee and maintain the learning management system (LMS) on WordPress and LearnDash, upload recordings, schedules, and posts, manage member communications through email and Mailchimp, lead onboarding and member meetings while fostering relationships, and maintain accurate records of member payment arrangements and renewal dates.
  • Community Management:
    • Oversee the planning and execution of training programs, workshops, and events while managing stakeholder relationships and maintaining detailed project plans to track milestones, deliverables, and deadlines.
  • Document & Data Management:
    • Maintain organized and confidential digital records using cloud-based platforms, ensuring proper access control for sensitive information.
  • Travel & Meeting Coordination:
    • Plan detailed travel itineraries, handle last-minute changes, prepare meeting agendas, and track action items to ensure timely follow-ups.

Requirements

Must-Have:

  • 3-5 years of experience as an Executive Assistant, Project Manager, or similar role.
  • Client prefers female candidates for the role.
  • Experience with LearnDash (WordPress LMS plugin)
  • Strong organizational skills with attention to detail.
  • Proficiency in project management tools (Asana, Trello, or similar).
  • Exceptional written and verbal communication skills.
  • Ability to work independently and manage multiple priorities.
  • Tech-savviness with tools like Microsoft Office Suite, Zoom, and CRM platforms.

Nice-to-Have:

  • Background in event planning or the insurance industry.
  • Experience with cross-functional team collaboration.
  • Familiarity with HubSpot CRM or similar platforms.
